WCOS General Privacy Policy

This document concerns data held by the society - on its own systems, or on its behalf.

In general terms, WCOS keeps data for Friends and those participating in the Come & Sing day on its in-house systems.

We store other information used to advertise concerts at systems operate by our mailing list supplier (MailChimp) and our ticket seller (Eventbrite).

Your information only used for the purposes given below and is never shared with any other organisations.

All electronic data held by or on behalf of WCOS is password protected and may be additionally protected by other measures (eg. two-step authentication). You may ask see a copy of the data held by WCOS and by suppliers on its behalf - and ask for that data to be corrected or removed. Mailing List*

WCOS maintains this list at Mailchimp, where we store your name, email address, the type(s) of event you are interested in and whether we have (or have not) received your consent to contact you by email. We use the Mailchimp system for marketing and to circulate information about concerts and events. We also record whether or not emails addressed to you were delivered or accessed.

Online Ticket Sales*

WCOS delegates online ticket sales to Wells Cathedral, who in turn delegate it to Eventbrite. It is only accessible to them and is used to facilitate ticket sales. Optionally, you may allow us to use your name and email address to circulate information about concerts and events.

Friends of WCOS

WCOS maintains information about Friends in-house, where we hold your name, email, phone, postal address and payments made. We use this data to communicate with Friends of the society about concerts, events, special offers and to maintain their membership.

Come & Sing Day

WCOS maintains information about Attendees at Come & Sing days at Eventbrite. We use this data to administer the C&S day. After the C&S day, data is deleted.

Members

For members of WCOS we store: name, voice, contact information and payment information. We use this to manage membership of the society.

Additionally, we keep a separate record of name, voice and attendance at rehearsals. We use this to maintain the quality of the performances. Members should refer to their Conditions of Membership document.

Members Mailing List*

This list - separate from the public mailing list - is maintained by Mailchimp. It stores: name, voice & email address. We use Mailchimp to circulate information about concerts, events and the organisation of the society.

* None of this information is stored by WCOS, although the information is available to authorised officers of WCOS.

1.1          This privacy policy sets out how Wells Cathedral Oratorio Society uses and protects any information that you give when you use this website.

1.2          Wells Cathedral Oratorio Society is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.

1.3          Wells Cathedral Oratorio Society may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from 01/11/2021.

2.1           We may collect the following information:
                     - your name;
                     - contact information including, telephone number, email address, and postal address;
                     - other information relevant to your requests and enquiries.

 

3.             What we do with the information we gather

3.1           We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
                     - Our performances and / or work for you;
                     - We may use the information to improve what we offer.
                     - We may periodically send relevant emails which we think you may find interesting using the email address which you have provided. This is subject to you having given your express consent in line with GDPR guidelines.

4.1           We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

 

5.             How we use cookies

5.1           A cookie is a small file which asks permission to be placed on your computer's hard drive. The file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

5.2           We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

5.3           Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

6.1           Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. 7.2           Whenever you are asked to fill in a form on our website, look for the box that you can click to indicate that you want the information to be used by us for direct marketing purposes.

7.3           If you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by writing to or emailing us using the details on our Contact Us page.

7.4           We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

7.5           You may request details of the personal information which we hold about you under the Data Protection Act 1998. A small fee will be payable. If you would like a copy of the information held on you, please use the Contact Form on this page.

7.6           If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address (7.5). We will promptly correct any information found to be incorrect.
